Expensya is Becoming Medius Expense
FAQ for Administrators
Expensya is transitioning to a new name and brand identity: Medius Expense. This FAQ answers questions our admin community may receive about the change — what is changing, what stays the same, and when to expect it. Please use this as a guide for materials you provide to your user community.
1. About the Change
Q: Why is Expensya changing its name?
Expensya joined Medius through an acquisition in 2023. This rebranding is the natural next step: after three years of deep integration at the product and technical level, it’s time to align the brand. The product has been part of the Medius suite for some time — the name is now catching up.
Q: Is Expensya being discontinued?
No. The product itself is not changing — only the name and brand identity. All features, workflows, data, and logins remain exactly as they are.
2. Impact on Your Organization
Q: Will anything change in the way we use the product day-to-day?
No. You will see a new name, a refreshed logo, and updated colours, but the screens, menus, features, and workflows you are used to remain the same.
Q: Will our data be affected? Could anything be lost during the transition?
Your data is fully preserved. The rebranding does not involve a data migration, system cutover, or any kind of data transformation. All historical expenses, reports, receipts, approval records, and audit trails remain intact and accessible.
Q: Do we need to do anything to prepare for the change?
No action is required. The transition will be handled entirely by the Medius team.
Q: Will our existing workflows, approval rules, and configurations be affected?
No. All workflows, approval rules, expense policies, custom fields, and configurations carry over unchanged.
Q: Will user accounts, roles, and permissions change?
No. User accounts, roles, permission levels, and SSO configurations are not affected by the rebranding.
3. Technical & Operational Changes
Q: Will the login page and URLs change?
Yes. We are introducing a new web app having login page and URL updated to reflect the Medius Expense name (expense.medius.com) on July 13, 2026. Log in to see the new look, use it for your own expenses, and update any user guides you have created with new screenshots and the updated product name. Please note that the current web app (app.expensya.com) remains available until September 30, 2026.
Q: Will the mobile app change? Do employees need to reinstall it?
The existing mobile app will be updated in the App Store and Google Play with the new Medius Expense name and icon — there will still be only one app. On the cutover date (September 30, 2026), the new branding appears automatically; no reinstallation or additional action is required. All existing data, settings, and access remain unchanged.
Q: Will our physical or virtual cards be affected?
The virtual card design will be updated to reflect the new brand identity. Employees can continue using their existing physical card; a rebranded physical card will be sent automatically at or before the card’s renewal date.
Q: Will our ERP integration, managed connectors or API connection be affected?
No changes are planned for now. All ERP integrations, managed connectors, and flat-file (SFTP) or API-based connections will continue to use their existing URLs. You’ll receive advance notice and migration guidance if any endpoint changes are introduced later.
Q: Will there be any downtime during the transition?
The transition is planned to cause zero unplanned downtime.
Summary of changes
- Login URL changes from https://app.expensya.com/Portal/#/Login to https://expense.medius.com/Portal/#/Login.
- Automatic redirection between the two URLs will be in place starting September 30.
- The login page design reflects the Medius brand. The login method itself is unchanged.
- The web app logo and colour palette reflects the Medius brand.The mobile app is updated in the app stores under the new name and icon (Medius Expense).
- Physical and virtual card designs are refreshed. Physical cards are renewed automatically before their expiration date; the same card can be used in the meantime.
- The expense-forwarding email address changes to expenses@medius.com. Both expenses@expensya.com and expenses@medius.com are operational. We recommend switching to the new address as soon as possible, as the old domain will eventually be retired.
- Direct email addresses change domain from @expensya.me to @me.medius.com.
- From July 13, the sender domain will depend on the application used by the employee:
- On app.expensya.com (and mobile), system emails will continue to come from @expensya.com - for example, account@expensya.com.
- On expense.medius.com, system emails will come from @medius.com - for example, account-expense@notification.medius.com.
- From September 30, all system notifications will be sent from account-expense@notification.medius.com.
- The new Medius Expense web app is available in staging at https://expense-staging.medius.com/.
- If you have a grey label logo, your logo will be updated to reflect that new brand Medius.
4. Legal & Contractual
Q: Will our contract or service agreement change?
Your existing contract with Expensya / Medius remains in force. The rebranding does not alter the commercial terms, pricing, SLAs, or service scope.
Q: Will the Privacy Policy change?
The Privacy Policy will be reissued under the Medius Expense name. Data handling practices, data residency, and GDPR compliance commitments remain unchanged — the rebranding does not involve any change to how your personal or organisational data is processed or stored.
Q: Will support SLAs or the support contact change?
No. Support SLAs and escalation paths remain unchanged, and your existing support contacts and ticketing processes continue to apply. Help documentation and the Success Portal will be updated to reflect the Medius Expense brand, with content kept up to date.
5. Communication & Roll-out
Q: What is the roll-out timeline?
- July 13, 2026: Soft launch — rebranded web app available for use.
- September 30, 2026: Rebranded mobile app available to customers; final cut-over.
Q. Will there be any end-user communication done by Medius Expense?
We will not send any emails directly to your end-users. However, to support the transition, we are introducing in-app banners and messaging:
- On expense.medius.com – a banner will inform users that Expensya has been rebranded to Medius Expense, starting July 13, 2026.
- On app.expensya.com and the mobile app – a banner will appear from September 15, 2026, informing end-users that the change will take effect on September 30, 2026.
6. What Comes Next
Q: Is this the only change? What should we expect after?
This change focuses exclusively on brand alignment: name, logo, colours, domains, mobile, cards, and documentation.
Q: Will there be new features as part of the rebrand?
The rebranding itself does not add or remove features — it’s a brand and identity change, not a product update. New features continue to be delivered through the regular product release cycle, independent of the rebranding programme.
7. Getting Support
Q: Who do we contact if we have questions about the transition?
Your existing point of contact remains available for any questions about the transition. Please note that all our existing support channels stay active.
