Expensya Cards - Administrator Role Management

In order to start using Expensya cards, the company must open a payment account to which the cards will be attached.

In order to control access to Expensya card management and payment accounts, Expensya has set up management roles that can be assigned to administrators. 

What are the administrator roles : 

Expensya administrators can have one or more roles related to the management of Expensya payment accounts and cards.

Roles allow you to manage the following privileges : 

  • "Manage cards": add and modify Expensya cards
    Once the role is activated, the administrator will be able to access the "Expensya Cards" tab in the "Payment Methods" sub-menu under the "Payment" menu

  • "View Accounts": view account details and transactions
    Once the role is activated, the administrator will be able to access the "Expensya Card Account" tab in the "Bank Accounts" sub-menu under the "Payment" menu

 

  • "Initiate transfers": initiate SEPA transfers from the Expensya cards payment account.
    If you are the legal representative or an administrator who has the role "Manage cards", then you have the possibility to activate or deactivate roles to administrators.

 

Assigning one or more roles to a new administrator

The legal representative or the administrator who has the role "Manage cards", has the possibility to activate one or more roles to a new administrator. If you want to do this role assignment:

  1. Navigate to "Admin", then to the "Payment" menu
  2. Go to the "Role management" submenu.
  3. Choose the administrator and click on "Complete information".
  4. Select the payment account and enter the administrator's phone number and date of birth.
  5. Select the role(s) to be activated.

The "Initiate Transfers" role can only be activated if the "View Accounts" role is activated.

  1. Click on "Save" to confirm the activation of the roles and validate with the consent received by SMS.
  2. The new administrator will receive an email to verify his identity and he will be able to use the roles that have been assigned to him.

It is important to note that you can only assign a role to an administrator if you have that role enabled for yourself.

Updates to one or more roles for an administrator

If you are the legal representative or an administrator who has the "Manage Cards" role enabled, you can update one or more roles to an administrator, as follows:

  1. Navigate to "Administration", then to the "Payment" menu
  2. Go to the "Role management" submenu
  3. Select the account that the administrator has roles enabled for.
  4. Select the role or roles you want to update

The "Initiate Transfers" role can only be activated if the "View Accounts" role is activated.

  1. Click on "Save" to confirm the update of the roles and validate with the consent received by SMS
  2. The administrator will receive an email with the roles that have been granted and the roles that have been removed. 

It is important to note that a role can only be assigned to an administrator if you have that same role enabled for you.
