Regional Date & Time Preferences Configuration

As an administrator, you can define regional preferences when you add users. This ensures consistency and accuracy across the platform.

Regional Preferences Configuration

To set up regional preferences for new users, follow these steps:

  1. When you add a new user, click Define a regional format.

  1. A dropdown list appears, allowing you to select your preferred Regional Format.

  1. Select the appropriate format from the list.
If no format is chosen, regional settings follow the employee’s browser preferences by default.

User Import

  • When importing new users, you can define the preferred date format. If an employee updates their preference in their account, your subsequent imports will not override the employee’s chosen setting. 
When importing files manually for specific purposes (such as projects, statements, vehicles, delegated access, etc.), ensure the selected preferred time format setting is respected.

Using Regional Preferences Across Expensya

Once you configure a user's regional format, the selected setting will apply to the following components across the platform.

Expense Management

  • Expense Creation & Editing: The date field uses the configured format in modals, history, and titles.
  • Expense List: Expenses display dates based on the selected format.

Reports

  • Report List: Report periods appear using the selected format.
  • Report Creation & Editing: All date fields follow the configured setting.

Mileage & Per Diem

  • Mileage Modal: Date fields use the defined format.
  • Per Diem Modal: Dates for allowances appear in the same format.

Administrators & Accountant Views

  • Expense and Report Lists: Administrators and accountants see dates in their own preferred formats.

Additional Features

  • Expensya Card Transactions
  • Auto NDF Messages
  • Dashboard, Notifications, Emails
  • Exports (PDFs, CSVs, etc.)
This change will not affect custom exports; they will continue to follow the pre-established format.

  1. What happens if I don’t configure a regional format?

Expensya defaults to the format based on the user's device or browser settings.

  1. Can I override an individual user’s preferences after setup?

No. You can only define the format when you add the user. Users can change their own settings afterward.

  1. Do preferences synchronize across devices?

Yes. Preferences are account-based and apply across all devices.

  1. Can I update the date format for exported files?

Manual exports reflect your preferences, but automatic exports follow a standard backend-configured format.
