Expensya Cards - Transaction Management
To start using Expensya cards, the tenant must open a payment account to which the cards will be linked.
In order to track expenses made with Expensya cards, Expensya provides you with the details of transactions executed with Expensya cards, as well as the possibility to export them.
Access to the list of transactions:
An administrator with the View Accounts role associated with a payment account can access the transactions made with Expensya cards.
You have the option to search for or filter transactions as follows:
- Navigate to Admin, then go to the Payment menu.
- Access the Transactions submenu.
- Search for a transaction using the name of the budget it is associated with, the name of the merchant who was paid, or the transaction amount.
- Filter transactions by the source Expensya Card.
Only transactions that meet the search criteria or the applied filters will be displayed.
- Example 1: Filtering Transactions Without Receipts
You can select the "Receipt Status" filter to display only the transactions related to expenses for which a receipt has not been added.
- Example 2: Filtering Transactions by Debit Date
Another practical filter allows classifying transactions according to their date. This filter takes into account two types of dates:
- Transaction Execution Date: Used for transactions in Pending or Failed status.
- Transaction Debit Date: Used for transactions in Approved status.
This filter allows us to view only the transactions performed on a specific date or during a given period.
You also have the option to view the details of an expense related to a transaction.
Managing transaction exports:
An administrator with the "Manage Cards" role associated with a payment account can export transactions executed with Expensya cards.
You can export filtered transactions as follows:
- Navigate to Administration, then go to the Payment menu.
- Access the Transactions submenu.
- Filter transactions by the source Expensya Card.
- Click on Export the result.
- On the Export Summary page, click Continue the export.
The result will be a CSV file of the transactions with all the transaction details, including the source of the transaction and the name of the payment account to which the transaction was debited.
View the details of a transaction:
An administrator with the View Accounts role associated with a payment account can view the details of a transaction executed using an Expensya card.
You can view the details of a transaction as follows:
- Navigate to Administration, then go to the Payment menu.
- Access the Transactions submenu.
- Click on a transaction.
You will see the details of the transaction, including the merchant's name, the transaction debit date, and the transaction amount in currency.
