The workflows of Egencia Booking Integration
The API booking integration enables the real-time, automatic import of booking data from Egencia to Expensya. This seamless integration offers two distinct experiences, each tailored with its own unique workflow.
Egencia Booking --> Authorization Request
- Booking Creation in Egencia
- The user initiates a booking in Egencia
- The booking is then validated by the user's manager (validator) in Egencia
- Import of the booking into Expensya as an Authorization Request
- Once confirmed and validated, the booking is instantly imported into Expensya.
- An Authorization Request is automatically generated in Expensya, populated with the booking details
Important Notes:
Booking updates in Egencia (cancellations or changes) are reflected in Expensya, the corresponding Authorization Request is updated accordingly.
New bookings within the dates of an existing Authorization Request in Expensya are automatically added to that mission order.
If all bookings within an Authorization Request are cancelled, the Authorization Request will also be marked as cancelled in Expensya.
Authorization Request in Expensya--> Booking in Egencia
- Authorization Request creation in Expensya:
- The user creates an Authorization Request in Expensya
- The Authorization Request must be approved by the user's validator in Expensya
- Redirection to Egencia:
- Upon validation, users receive a redirection link via email.
- A "Book from Egencia" button will appear in the booking section of the Authorization Request, enabiling users to access Egencia and complete their booking.
Once the booking is completed and confirmed, it is instantly imported into Expensya and seamlessly integrated into the specific Authorization Request initially referenced by the user.
